Position Title: Finance/Admin Assistant (FAA)

Location: Abuja

Reports To: Finance and Admin Manager

Duration: 3 months, renewable based on performance and funding

Level of Effort: Part-Time

Position Summary

The Finance/Admin Assistant will provide critical support in managing day-to-day financial, HR and administrative operations. This includes bookkeeping, payment processing, record-keeping, procurement support, and administrative logistics. The position ensures compliance with ASDI’s financial policies and supports efficient office management.

 

Key Responsibilities

Human Resources Support

  • Assist in coordinating recruitment and onboarding processes.
  • Maintain accurate and up-to-date employee records (digital and physical).
  • Support the implementation of HR policies and procedures.
  • Track staff leave and attendance.
  • Assist in preparing payroll inputs and timesheet collection.
  • Support the organisation with staff training and performance review processes.

Administrative Support

  • Maintain digital and hard copy filing systems for financial, HR, administrative and program records.
  • Provide logistical support for staff travels, meetings, training sessions, workshops, and conferences.
  • Support procurement by collecting quotations, preparing purchase requests, and maintaining vendor records.
  • Manage office inventory, supplies, and asset registers.
  • Draft and format routine correspondence, reports, and meeting minutes.

Finance Support

  • Assist in maintaining accurate and up-to-date financial records in line with ASDI’s financial procedures.
  • Assist in the preparation and reconciliation of bank statements, petty cash, and other accounts.
  • Process payments, including preparing vouchers, receipts, and supporting documentation.
  • Support budget tracking, expense analysis, and donor reporting requirements.
  • Ensure timely submission of statutory remittances (e.g., taxes, pensions, etc.).
  • Assist in internal and external audit processes.

Other Duties

  • Ensure adherence to confidentiality and data protection standards.
  • Perform other duties as assigned by the HR and Operations Manager or designate

Qualifications and Experience

  • Minimum of a Diploma or Bachelor’s Degree in Accounting, Finance, Human Resource Management, Business Administration, or a related field.
  • 1–2 years of relevant experience in accounting and/or administrative support, preferably in an NGO or donor-funded project.
  • Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Familiarity with donor financial reporting requirements is an asset.
  • Strong organisational skills and multitasking skills with attention to detail.
